Do I Need Embroidery Software to Use a Design I Bought?

No, you do not need embroidery software to use a design you bought. Unzip the download, copy the file in your machine's format straight to a USB drive, and load it on the machine. Software is only needed if you want to change the design.

Where this question comes from

Alisha W., one of our customers, wrote to us in January 2026. She has a Brother SE625 with a 4 x 4 hoop, and she had opened her designs in an editing program and saved them again before putting them on her flash drive:

Hi Can you help me please? I'm thinking I didnt save my files properly. I have a Brother SE625 which has a 4x4 hoop.
I downloaded my files with no problem. Clicked the first in the list as it was one of the 4x files. They opened in my "My Editor" app. I saved them (2 different designs). When saving them it was asking a question about the amount of stitches as well as showing a list of different machines. I think this is where i went wrong.
The file did save onto my flash drive I'm just getting a message on my machine that the pattern is to large for my frame

We answered Alisha, and we are sharing the answer here because many embroiderers run into the same thing.

What we told her

Put the original file directly onto the USB drive, without opening and saving it in a program first. A file can be altered when a program saves it again.

How to use a purchased design without software

  1. Download the design and unzip the folder.
  2. Find the file in your machine's format and size, such as the .pes file in the 4x4 size.
  3. Copy that file to your USB drive. Do not double-click it or open it first.
  4. Plug the USB drive into your machine and select the design.

Why opening and re-saving can cause problems

When you open a design in a program and save it, the program writes a new file using its own settings. That can change the design in ways you did not ask for:

  • The hoop or machine setting. The program may save the design for a different hoop, so your machine reports that the pattern is too large for the frame.
  • The size. A design can be saved slightly larger than the original, which is enough to push it past a 4 x 4 inch limit.
  • The stitches. Some programs recalculate the stitching when they save.
  • The file version. The program may save in a newer version than your machine can read.

If a design worked for other people and fails for you after you saved it in a program, download it again and copy the original file across untouched.

When embroidery software is useful

Software is worth having when you want to do more than stitch a design as it comes:

  • Add a name or lettering to a design
  • Combine two designs into one
  • Convert a design to a format your machine reads
  • View designs on your computer and print a template for placement
  • Change thread colors before stitching

When you do edit a design, save the edited version under a new name and keep the original.
